The good news: 70% of causes are solvable by reminders and confirmations. The problem is that manually calling every guest the day before and the day of takes resources most restaurants don't have.

First mechanism: automatic confirmation

The AI reservation agent sends an SMS or calls the day before and asks for a simple yes/no. That single step cuts no-show rates by 40-50% in every tracked study. The reason is simple: a reminder beats forgetting.

Timing is everything — not too early (they forget again), not too late (no time for a backup plan). Sweet spot: 18-24 hours ahead plus a second reminder 2-3 hours before. The AI does it automatically with zero staff effort.

Second mechanism: card pre-authorisation

For large groups and peak nights a card pre-auth makes sense. Not a charge — just a hold (say 10 euros per person) that releases when the guest shows up. No-show without cancelling, card gets charged.

New York studies show no-show rates dropping from 22% to 4% when this is introduced. Guests accept it because it's minimal and transparent. The AI asks for it during the call and captures the data in the same breath — no extra step for staff.

Third mechanism: smart waitlist

When someone does cancel, the AI instantly notifies the first guest on the waitlist and offers the slot. In practice, 60-80% of cancelled slots get filled within 20 minutes. Without AI, staff rarely has time to call the waitlist — tables sit empty.

The waitlist also helps the guest — instead of 'sorry, fully booked' they get the option to wait and be notified. That improves satisfaction even when the reservation doesn't happen, and it shows up in Google ratings.

A 50-table restaurant with a 15% no-show rate loses an average of 8-10 tables a week. At a 25 euro margin per table that's 200-250 euros weekly, or 10,000-13,000 euros a year. Cutting to 5% recovers 70% of that.

Yes, if it's transparently disclosed at the time of booking. The guest has to be informed of the amount and the conditions. The AI agent reads that from the script automatically.

Pre-auth is only used for large groups and peak days. For normal bookings an SMS reminder and confirmation is enough. The AI can combine both strategies.

How does the AI distinguish early from last-minute cancellations?

Rules follow your policy — e.g. free over 24 hours in advance, 50% under 24 hours, 100% same day. The AI checks the timestamp and takes the right action.

Can the AI offer a replacement date on cancellation?

Yes. When a guest cancels, it immediately asks if they want to reschedule. That saves a significant share of lost bookings because rescheduling is easier than calling again.

What happens to the pre-auth when the guest shows up?
